My new secretary is making me want to put a bullet in my head...

she is making me completely insane.

I taught her, literally, 5 times how to pull up our worklist of tasks that are assigned to her and complete items. I took on her duties to update websites to clients about their cases because she sounded so clueless that she made no sense and came and asked me on every simple case. I told her, "you just work at completing your calendar items."

So, today I send her an email to set a sale date for a property in Jefferson County. She printed the email and then deleted the email. She came into my office and said, "did you send me this email." I said, "well that is my signature block at the bottom of the email, isn't it?" "Yes. Well, what do you want me to do?" "What does it say that I want you to do?" "Set a sale date, but you don't have the file number in the email." "I put it in the subject line." "I deleted the email."

OKAY....So I say, "I don't have time for this right now. Please print out your calendar worklist and compile a list of all the items I have set you a calendar item to schedule a sale date for Jefferson County. Then, call the master commissioner and give them a list so that they set them all on the same date"

Ummm when you hired her. Did you ask her any questions that pertain to the job? How much are you paying her? Why don't you steal one of your opposing counsel's assistants?

My point is, hiring is not an exact science and it is common to hire mediocre people that can't handle responsibility... I would examine the pattern of your hiring, and try to remember what exactly drew you to that person... I know this is abstract, but of all the tens of millions of short men in the United States, a research study only produced 10 short men as CEO's for Fortune 500 companies, the real exception is Kenneth Chenault, as he is 5 9 and black, two minority things goin on...
My point is there are so many subconscious cues that go into hiring and you may wanna examine some of yours, there may be a pattern to U mishiring...

Cannot be any worse than the new Medical assistant who keeps sending me digital imaging scans from the fax inbox to my telephone incounters instead of assigning them to the pt that they belong to then sending them to my direct fax inbox..She is a complete ass, and the scary thing is she was a unit manager over at the local hospital just last year, yikes!
 
I thought the subject was displayed at the top of the email when you print it out? I guess it depends on the email app...I know outlook does it by default.

She must have had a standard probation period in her contract. She is new. If she's not performing, fire her and hire someone else. Aren't you a legal office? This is normal procedure.

Heather, you should go through a service that specializes in your field.. that way they work as temps you pay a little more in the begining however this is the only way you truly find a candidate.. good luck .. Ive been in your spot a time or two.. stressful.. well at least she fixed your coffee I hope..lolm.... If you use a service send a list of qualifications ..

I had a "get real" memo and meeting this morning. My whole staff is pissed at me now...lol. I told them that if I or the other attorney tell them a procedure, they had better print it out and put it in a folder for reference because I now have a "three strikes" rule in place. You fail to follow procedure once and you get a verbal warning, twice is written warning and third time you are FIRED.

I found out she is playing stupid with me, because the things I was showing her yesterday, the other attorney had already sent her a step by step memo on what to do.

Well, they know better now. She is going to be fired in two weeks if all of her stuff isn't up to date. I lost patience with her as of yesterday.

I'm just curious, I mean you have seen alot of bullshit, so it would make sense for you to be able to discern, even with a 6th sense like quality bullshit that comes through your office.

She is a grandmotherly type who came across as someone who was so detail oriented as to border of obsessive compulsive type behavior, which, believe it or not, is a great trait in a law office. However, she is that way about miniscule things that don't help anything and seriously is missing the big picture. I now know that she can't think on her own. You have to tell her how to do EVERYTHING. I was showing her the calendar list of her tasks and she started re-writing all the items on a legal pad for some unexplainable reason. I said, "just print it if you want to work from a hard copy." "Oh, you can print it? HOW?" I was thinking, "Gee, I don't know woman, maybe by clicking on that big icon at the top that says 'PRINT' in bold flashy letters!"

She really makes me crazy.

I'll take my time hiring the new employee. I'm looking at resumes now to bring on another secretary. If the new one is good, I will probably fire this one and then have time to look for the another one to take her place.

Call a temp agency, have them start Monday, fire her ass now. You will live a long and happy life if you do this. You already have spent too much energy dealing with this.

There was one woman in particular that seemed competent enough when I interviewed her. One week in I realized that the bitch needed to go. (I began a thread about her on elite matter of fact. LOL)

Fire her. She is obviously not up to the task at hand. Fire her now so you can stop expending YOUR precious energy (which makes you LESS productive) showing her stuff again and again that she should have been able to do 2 weeks ago. It would be a better expenditure of YOUR TIME to hire someone better suited to the position so that YOU can be more productive sooner.

Remember, you aren't there to make friends. You are there to make money. If someone is causing you MORE WORK or causing you to be LESS PRODUCTIVE they are COSTING you time and/or money.

It is really very cut and dry IMHO
 
I didn't see the Grump's suggestion of a temp agency. Excellent suggestion IMHO. If the temp works out you can hire her on full time.

There's your problem. When you hire older people you risk the chance they barely know how to operate a computer or have any technology common sense. Obviously not all older people, many in their 50's know their shit, but hiring people in the younger generations, computers/technology has been more ingrained in their life.

Actually, I DID, and they gave her great reviews. I think it is the likability factor.

She is going to our corporate office on today for training, and the other secretary told me that she said she planned on complaining about ME to the owners because she wasn't trained, etc.

I'm so going to fire her ass immediately when she gets back.

She said on Friday to the other secretary that she might not come back. I would feel no loss if she didn't.

I would consider hiring a male secretary/paralegal equally with the female applicants, but I honestly haven't even ever gotten one resume from a male. For some reason not many enter the field.

One of the hardest things I had to do was fire a woman that worked for me who was old enough to be my mother. She was like 60 something. Heckuva nice lady... but she didn't listen to a FUCKING THING I told her to do or not to do. She just went and did it "her way" regardless of how many times I told her to STOP.

I stressed FOR WEEKS over firing her. I mean, how could I? She was old enough to be MY MOTHER. After I did it, it was like a HYUGE weight was off my back. She was THAT BAD at the job. The woman was nice and likeable but completely incompetent and disobedient.

LOL...I got a phone call from one of the attorneys up in ohio saying that she was talking smack about me up there....evidently I'm a bitch who gets all over her just for asking a simple question...LOL.

He asked me if I would like for him to send me the forms for firing someone...ha ha ha.
 
i have an intern that i'm in charge of. I didn't hire him, although I probably would have. for a lot of things, he's great, but he didn't seem to understand that *i* am his boss. He wouldn't tell me if he wasn't coming in. he didn't tell me about a change in his schedule or what he's working on. I would think he was doing one thing that I asked of him, only to find out he was spending a few days working on a proposal that nobody asked for.

I finally had to have a talk with him and I told him i just wanted to make sure he understood the chain of command and what that meant, and also what I expected of him. He understood, but I later wrote an email, which I cc'd the CEO on and very nicely summarized what we spoke about. There would be no more confusion and everything has been great ever since.

You don't strike me as the type that would ignore a request for help from ANYONE, least of all someone who is supposed to be working for you.

I'm actually known for being a VERY patient person with people. She really, really tries my patience, though. She is the only one who doesn't "get it" that I'm just trying to make the office run well.

Then, she complains to the owners that no one will train her. Her best friend, who recommended her to me even wants me to fire her and says, "i feel so bad that I recommended her. I don't know why she is acting so SLOW."
 
I think you are just poorly matched and do not process things the same way - in other words no amount of training on your part or anyone else's will bring her to right playing field for you.

Find someone else and let her go.

this was the opinion of another attorney from our ohio office from meeting her today and listening to her complain about my not training her. He seemed to think that she wasn't ready for the level of responsibility of the position, because it requires quite a great deal of problem solving and independent thinking. I have no doubt that she can type, etc. but I found out that everything must be spelled out to the letter for her or she completely freaks out and freezes up and blames others. This isn't the kind of position where it is possible to spell out ever possible scenario.

I'm in the office tonight still, with the baby on my lap, doing HER work.

I don't know why she is acting so SLOW."

from an outsider point of view, maybe the fact that she isn't usually slow and also had good references means that what you think is good training, was not.

it could be that you don't realize you're using buzzwords or codewords that she's not used to, which makes processing new information almost impossible.
or perhaps you're moving at a faster pace than what she's used to. My own mother is very very smart, but when teaching her something or reading to her, she requires me to go MUCH slower than I am used to.

you might also be switching gears too often.

try just talking to her and asking her what the problem is.

I'm sure that I DO that! That is me at the office. I come buzzing in all cracked out on caffeine and hyper wanting to get 300 things done. I work hard and fast and like someone who has a bit of a crazy ass maverick in them like I do. I freak her out. I know that I do. I just hoped she would grow some thick skin, take some notes and take some INITIATIVE. However, she doesn't have it in her. She plays this "I'm helpless" game with men that usually gets her put on easier assignments. That doesnt play well with another woman.

The male attorney in our office told me today that she came to him and said that my expectation that she get her work up to date in two weeks or get a written reprimand was too demanding and there was no way she could do it. Take into account I've been working nights and weekends on HER WORK for weeks now. I'm in the office with a one year old sleeping on my shoulder! Without consulting me, he gave her a "more reasonable deadline of half of her work being caught up. I said NO! She is expected to do her work just like anyone else. I HATE when women play this game at work. If we want to be treated equal to men, we better not play the helpless damsel in distress every time we are given a challenge. It really irks me to no end.
 
At this point, I really want her gone. She lied on her resume and she annoys the piss out of me, frankly. I just cant put any faith in her.
